The deposit is used to purchase your trek permit and reserve space within the group. After purchasing the permit we cannot change the date of trek departure or change the name or passport number on the trek permit. Payment of the balance of the trek. You can pay the balance of the trek at our offices in Cusco (minimum of 2 days before trek departure before 7pm). Payment can be made in cash US$, local currency (Peruvian Soles) or American Express Travel Checks (3% commission charged). You can withdraw cash in either US$ or Peruvian soles from one of the many ATM machines in Cusco (Visa, MasterCard, etc). Prior to departing for Peru it is advisable to inform your bank that you are coming to Peru so that you do not experience any problems with your credit/bank cards whilst abroad. Remember that the limit that you can withdraw each day in Peru may be less than your normal limit at home. * IT4G Inca Trail 4 day Group Service * Our standard 4 day group service trek is the most popular of the Inca Trail treks that we offer. With this service you join one of our groups so you will find yourself trekking with a variety of like-minded people from all over the world. This service is perfect for couples and small groups of friends. Entrance to the thermal springs in Aguas Calientes (optional) US$3, Sleeping bags can be hired in our office for the 4 day trek (every sleeping bag is washed prior to each use). Transfer from train station in Cusco to your hotel after the trek (however a taxi from the station to your hotel is no more than US$2 and works out a lot quicker than if we were to pick up all the group) Things you need to bring on the trek: Backpack, sleeping bag, mattress (we will provide you with this), rain jacket, strong footwear, one complete change of clothing, sweater, jacket (something warm), water bottle and sterilizing tablets (Micropur are recommended and can be bought in local pharmacies in Cusco), flashlight and batteries, broad-brim or peaked cap, sunblock, insect repellent, toiletries and toilet paper, selection of small snacks, chocolate, dried fruit, biscuits etc, camera and plenty of film. You also have to bring your original passport with you on the trek. Trek Options: 1. Personal porters can be hired to help carry your personal items such as clothes, sleeping bag etc. The services of half a porter (maximum 9kg) can be hired for US$35. If you hire the services of half a porter we will provide you with a lockable porter bag and a padlock to safeguard your equipment. However even with an extra porter you will still need to take a daypack to carry your essential items such as rain poncho, warm fleece, camera and water bottle. 2. An extra night in Aguas Calientes can easily be arranged for you if required. Hotels costs and costs associated with returning to Machu Picchu the following day are additional to trek costs. For more information see our frequently asked questions. 3. We can also provide vegetarian meals or cater for special diets at no extra cost but we need to know when you make the trek reservation. 4. You can hire sleeping bags in our office. All sleeping bags are synthetic (easy to wash). They are washed after every use and are guaranteed to be clean. After we have hired out our standard sleeping bags just 12 times we donate it to a porter to use. Standard bags: US$12 per person for the 4 day trek. Weigh 2.3 kg and are rated to freezing. Arctic bags: US$15 per person for the 4 day trek. Weigh 2.2kg and are rated to 15 degrees below freezing (more than sufficient). In the Event of Trek Cancellation by the Client Please note that the trek deposit of US$100 per person is non-refundable. The deposit is used to reserve space within the group. Once we have made a trek reservation with the government authorities we cannot then change any details of the reservation (your name, passport number or departure date). (i) Trek cancellation more than 7 weeks prior to departure (after having paid the trek deposit): Refund of 50% trek trek deposit paid. If you are unable to come to the office to collect your refund we will return it to you by Western Union less the transfer charges related with sending it to you. (ii) Trek cancellation between 7 weeks and 7pm two days prior to trek departure (after having paid the trek deposit): Loss of trek deposit. All other payments will be refunded in full. Note that if the trek balance is not received prior to 7pm two days before trek departure then the trek will be deemed to have been cancelled and the deposit cannot be returned. Once we have bought the trek permits it should be noted that we cannot then substitute other trekkers in your place if you have to cancel. (iii) Trek cancellation between 7pm two days before trek departure and prior to actual trek departure (i.e. once you have paid for the trek in full): The unused trek permit will be returned as well as the return train ticket Aguas Calientes to Cusco and the bus ticket Machu Picchu to Aguas Calientes plus US$30 in cash. If you have hired the services of half a porter we cannot refund your payment and the porter will continue on the Inca Trail as originally contracted to do so. If you have hired a sleeping bag we will refund this amount in full. iv) Once you have started the Inca Trail (i.e. once you board the bus in the morning) we can only return your return train ticket from Aguas Calientes to Cusco and your bus ticket from Machu Picchu to Aguas Calientes. We cannot make any cash refunds. Any costs associated with returning to Cusco or returning to Ollantaytambo and then continuing to Aguas Calientes and then onto Machu Picchu must be met by yourselves (thankfully this is a very rare event).
In the event of any trek cancellation Peru Treks & Adventure will be happy to cooperate in providing any necessary documentation to enable a legitimate insurance claim. Changes to the price of the Inca Trail. As we publish our prices well in advance, we may occasionally be faced with significant cost increases due to factors over which we have no control. As such we reserve the right to impose surcharges (or price decreases) up to 28 days before departure due to unfavourable exchange rates, increases in train fares or other transport costs, taxes, or if government action should require us to do so. The above mentioned Inca Trail prices for 2005 are based upon the adult entrance fee for the Inca Trail remaining at US$50 (US$25 for students and children), the return train ticket from Aguas Calientes to Cusco in Backpackers class is US$46 per person (Peru Rail have already confirmed these prices for 2005), the UGM (government authorities responsible for allocating spaces on the Inca Trail) continue to allocate spaces in accordance with current laws and legislation and national sales tax (IGV) remaining at 19%. We have no reason to believe that any of these costs will change during 2005 and therefore no change to our published price is anticipated. If, however, such increases to costs outside of our control bring about a change to the published trek price Peru Treks & Adventure will pay 20% of any such price increase and the remainder will have to be met by the client. If any change brings about a price increase greater than 15% of the total cost of the trek clients will be offered the chance to cancel their reservation within 7 days of notification of the surcharge and receive a full refund. We will hold your payment for your collection in our office in Cusco. If you are unable to come to the office we will return it to you by Western Union less the transfer charges related with sending it to you.
